AI Policy

This policy explains where QikCRM uses artificial intelligence, how AI-generated content is produced, and what that means for your data and your work. We would rather be plain about it than leave you guessing.

1. Overview

QikCRM uses artificial intelligence to help you get through the busywork of running a small business. That covers things like drafting messages, summarising notes and suggesting next steps. AI is a tool inside the product, not the product itself, and it works alongside you rather than in place of you.

This policy sits alongside our Privacy Policy and our Pricing & Fair Use Terms. Where those documents go into more detail on data handling and fair-use limits, this one focuses on the AI itself.

2. Where We Use AI

AI shows up in a few specific places in QikCRM. We list them here so there are no surprises about where the machine is doing the typing.

  • Drafting emails, follow-ups and message snippets from a short prompt or from the context of a contact or deal.
  • Summarising notes, call logs and long threads into something you can read in a few seconds.
  • Suggesting next actions, tags and priorities based on the activity in your account.
  • Surfacing recommendations and insights across your contacts, deals and tasks.

Every one of these produces a draft or a suggestion. Nothing is sent, saved as final, or acted on without you choosing to do so.

3. How AI Content Is Made

AI Features rely on large language models. When you ask for a draft or a summary, we send the relevant context (for example the text of a note or the details of a deal) to a model, which returns generated text. That text is a prediction of what fits the request, not a fact pulled from a verified source.

Some of this runs on models we host or call directly, and some runs through third-party AI providers. Section 9 covers those providers.

4. Your Data & AI Training

We do not use the personal data you store in QikCRM, or the content you generate with AI Features, to train our own or any third party's general-purpose AI models. Your contacts, deals and notes are yours.

Data sent to an AI provider to fulfil a request is used only to produce that response and is handled under our agreements with those providers. For the full picture of what we collect and why, see the Privacy Policy.

5. Accuracy & Human Oversight

AI-generated content can be wrong, out of date, or confidently nonsensical. It can invent details that were never in your data. Treat every draft as a first pass from an eager but fallible assistant.

You are responsible for reviewing AI output before you send it, save it, or rely on it. QikCRM does not provide legal, financial, tax or professional advice, and AI Features are not a substitute for a qualified human when the stakes call for one.

6. Ownership of AI Output

As between you and QikCRM, the content you generate with AI Features is yours to use for your business. You are free to edit it, send it and keep it.

Bear in mind that AI models can produce similar output for different users from similar prompts, so generated text is not guaranteed to be unique. Rights in the underlying models and the QikCRM service itself stay with us and our providers.

7. Content On This Website

Some of the copy on this marketing website was drafted with the help of AI and then reviewed and edited by a person. The people shown in the photography and video are stock models rather than real customers or staff, and those assets are served under the Pexels licence.

Testimonials and example figures used for illustration are exactly that, illustrative, unless we clearly state otherwise. Product screenshots reflect the software as built.

8. Acceptable Use

AI Features come with a few common-sense limits. You agree not to use them to:

  1. create unlawful, deceptive, harassing or misleading content,
  2. generate spam or bulk unsolicited messaging,
  3. impersonate a person or organisation in a way that could deceive, or
  4. attempt to reverse-engineer, extract or copy the underlying models.

9. Third-Party AI Providers

Some AI Features rely on third-party AI providers, for example Mistral, Microsoft Azure OpenAI or OpenAI. We remain responsible for providing the QikCRM service, but we cannot guarantee the availability or output of a third-party model.

Where you connect your own AI provider account or API key, you are responsible for the charges, configuration and compliance that come with that account. In that case QikCRM acts only as a technical integration.

10. Changes & Contact

As our AI Features grow, this policy will change with them. When we make a material change we will update the date at the top of this page, and for significant changes we will give you notice inside the product or by email.
